Organization Policies Update: Loyalty and Moonlighting Guidelines

It is Employees responsibility to ensure that all of them maintain professional ethics and loyalty to the organization. To safeguard the interests of our institute and ensure mutual growth, the following updated policies are being introduced

1. Loyalty Towards the Organization

  • Employees are expected to demonstrate loyalty and prioritize the growth of the organization.
  • Sharing internal processes, trade secrets, or confidential information ( Data or Mail ID access not for personal use) with competitors or third parties is strictly prohibited.
  • Any act of undermining the organization’s reputation will result in immediate disciplinary action.

2. Moonlighting with Competitors

  • Employees are not allowed to engage in part-time teaching, consultancy, or any other professional activities with competitors.
  • Any such association without prior approval will be considered a breach of contract.

3. Sales and Inquiry Protocol

  • Diverting potential leads, inquiries, or sales opportunities to competing organizations or institutes is unethical and strictly forbidden.
  • Employees found guilty of such actions will face severe consequences, including termination.

4. Unethical Conduct

  • Any parallel teaching, freelance work, or training offered in collaboration with competitors is against the organization’s policy.
  • Employees must refrain from actions that conflict with the organization’s interests, including unauthorized use of resources, materials, or curriculum.

5. Disciplinary Action

  • The organization will not tolerate unethical behavior and reserves the right to terminate employment for any breach of the above policies.
  • Legal action may be taken in cases involving data theft, intellectual property misuse, or fraud.

6. Employee Commitment

  • All employees are required to sign a declaration of commitment to adhere to the updated policies.
  • Regular audits and checks will be conducted to ensure compliance.

7. Transparency and Reporting

  • Employees are encouraged to report any unethical practices observed within the organization through a confidential channel.
  • Transparency in actions and intentions is a fundamental expectation from all team members.

8. Director’s Statement

As the Director of Bug Spotter Software Training Institute, I emphasize the importance of loyalty and ethical conduct for the collective success of the organization. Employees are the backbone of our institute, and any actions that harm our interests not only affect the organization but also hinder the trust we place in our team members.

Action Plan for Handling Policy Violations

If an employee is found violating the organization’s policies, the following steps will be taken to ensure a fair and systematic resolution:

Step 1: Identification 

  • Once a potential violation is identified, the concerned team or individual must collect concrete evidence to substantiate the claim.
  • Evidence may include emails, messages, logs, reports, or witness statements.

Step 2: Inquiry by the Legacy Team

  • The Legacy Team will initiate a formal inquiry to investigate the matter.
  • A meeting will be arranged by a designated committee to question the accused employee(s).
  • At least two members of the Legacy Team will be part of the inquiry committee to ensure neutrality.
  • Random questions related to the incident will be asked to evaluate the employee’s responses and gather further clarity.

Step 3: Decision by the Committee

  • Based on the findings of the inquiry, the committee will determine the necessary course of action.
  • Actions may include imposing penalties, issuing warnings, or initiating termination, depending on the severity of the violation.

Step 4: Notice and Penalty Submission

  • A formal notice will be sent to the employee, outlining the findings and penalties, if applicable.
  • The employee will be required to submit the penalty amount within one week from the date of notice issuance.

Penalty Clause for Policy Violation

To ensure strict adherence to the updated organization policies, the following penalty will be imposed on employees found violating the loyalty and ethical guidelines:

  1. Financial Penalty

    • A penalty equivalent to 50% of the employee’s total payment from date of joining will be imposed for unethical actions, including but not limited to:
      • Moonlighting with competitors.
      • Diverting sales inquiries to competitors.
      • Sharing confidential information or engaging in activities harmful to the organization’s interests.
  2. Reimbursement to the Organization

    • The organization will recover 50% of any financial loss or damages caused due to the employee’s actions as a penalty.
  3. Immediate Disciplinary Actions

    • In addition to the financial penalty, the employee may face immediate termination if their actions significantly harm the organization.

This penalty policy serves as a deterrent to unethical behavior and reinforces the importance of loyalty and professionalism.
